In this episode, we’re sharing our tried-and-tested toolkit that keeps our digital agency running smoothly. We’ve been refining these tools over 10+ years!
Content Creation & Writing
Google Docs – Angela’s go-to for pretty much everything writing-related. Love the clean interface, real-time collaboration, and that outline feature for chunky documents.
AI Transcription Tools – We’ve used Otter AI, Temi, and Happy Scribe to turn client calls into content gold. Game-changer for capturing ideas and client voice!
Claude AI – Our favourite for development help and content brainstorming. Great for summarising big chunks of info and creating hypothetical examples when you’re stuck.
Website Building & Design
WordPress – Still our CMS of choice. Rock solid, huge community, and you can extend it to do practically anything.
Bricks Builder – Our current visual builder. Great balance of flexibility for us and simplicity for clients.
Figma – Where all our designs start. Quick, easy, and perfect for anything visual.
Productivity & Project Management
Todoist – Our task management lifesaver. Recurring tasks, subtasks, and a clean UI that actually makes sense.
Twist – We ditched Slack for this gem. Less disruptive, more affordable for client collaboration, and designed for async communication.
Zoom – Still our reliable choice for client calls, especially with that handy Google Calendar integration.
SEO & Analytics
Mangools – Our budget-friendly SEO toolkit. Brilliant for keyword research without the hefty price tag of the big players.
Google Analytics & Search Console – We use them, but let’s be honest, GA4 is a bit of a pain compared to the old Universal Analytics!
Technical Tools
WP Umbrella – Keeps all our WordPress sites monitored, updated, and secure.
GridPane – Our WordPress hosting management panel that makes server management actually enjoyable.
Gmail + MXroute – Our clever email setup that gives us Google’s interface without being locked into their ecosystem.
Client Collaboration
UserBack – Absolute lifesaver for getting website feedback. No more “can you make it pop a bit more” emails!
Fluent CRM – Our WordPress-based email marketing solution. Bit techy to set up, but total control over your data.
ScreenPal – Perfect for quick how-to videos and client walkthroughs.
Design & Graphics
Canva – Essential for quick graphics when you’re not a full-time designer. It’s come such a long way since the early days!
What We Don’t Use (And Why)
- Social media schedulers (algorithm concerns)
- Grammarly/Hemingway (outgrown them)
- URL trackers (maybe we should!)
These tools have genuinely made our business run smoother. Some we’ve been loyal to for years, others are newer additions, but they all earn their keep in our daily workflow.
